Lead Manager

Every lead answered and chased, before it goes cold

Every enquiry in one place, contacted automatically by AI call, WhatsApp, SMS or email before anyone is free.

Every agency has a pile of leads that went quiet. Not because anyone decided to drop them, but because Tuesday got busy, then Wednesday did, and by Friday the vendor had instructed somebody else.

How quickly you answer a new enquiry is the biggest single difference between the ones you convert and the ones you lose. And the fastest reply an agency can send is one nobody had to remember.

The fix

What it does

Lead Manager collects every enquiry into one place and contacts each one automatically, by AI phone call, WhatsApp message, SMS or email, before a person has picked it up.

Your team then works from one shared inbox showing the whole history with that person across all four channels, including every call's recording, transcript and AI summary.

  • Enquiry emails
  • Website form emails
  • Spreadsheet imports
  • Typed in by the team
  1. Collects every enquiry

The company gets its own lead email address: anything sent to it becomes a lead, with the name, phone and email read out of the message. Spreadsheets import in bulk, and anything else is typed in.

  2. Makes contact before anyone is free

A new lead can get an AI phone call, a WhatsApp message, an SMS or an email automatically, at the delay you choose, inside the calling hours you set.

  3. Follows up on its own

Sequences mix calls, messages, emails and waits, and every run keeps a step by step history you can read on the lead.

Capabilities

What is in it

  • Every channel runs from one inbox

AI phone calls, WhatsApp, SMS and email all live in one shared inbox, so the whole conversation with a lead reads as one thread.

  • It checks every lead every 60 seconds

The follow up engine sweeps the whole list once a minute and does whatever is due: the next email, the next message, the next call.

  • Take over from the AI in one click

When the AI is replying, the inbox says so. Press Take over and it stops, press Resume and it carries on, and it pauses itself the moment a person replies from anywhere else.

  • It knows the WhatsApp rules

WhatsApp only allows replies inside a 24 hour window. The inbox shows that window counting down live, and it resets the moment the customer replies.

  • Build your own follow up sequences

Multi step automations mix email, SMS, WhatsApp, AI calls and waits from ten minutes to thirty days, and every run keeps a step by step history you can read.

  • AI calls that know when to speak

It waits for the lead to finish talking before it answers, it can be interrupted mid sentence, and it ends the call politely if the line goes quiet.

  • Every call is kept on the lead

Calls are transcribed with each speaker labelled, summarised by the AI, and filed against the lead they belong to.

  • Buy phone numbers inside it

Buy a number per office, and route sales and lettings enquiries to different numbers.

  • Emails turn into leads on their own

Give your inbound address to a portal or your website and incoming enquiries become leads automatically, with the details read out of the email.

  • Bring your list in from a spreadsheet

Import leads from a spreadsheet, and when a row is wrong the importer names the exact row and what to fix.

  • It respects your calling hours

Calling hours are set per agent and evaluated in your company's own time zone. Outside them the call is held and tried at the next working time.

  • Your emails are properly authenticated

A guided setup walks you through authenticating your sending domain, with one click checks that the records are right.

Getting started

How it works

  1. Everything lands in one place

Enquiry emails, website form emails, spreadsheet imports, and leads typed in by hand.

  2. It makes contact for you

An AI call, a WhatsApp message, an SMS or an email goes out automatically, before a person has got round to it, inside the hours you set.

  3. Follow up happens anyway

If a lead goes quiet, the next step in the sequence goes out. Nothing sits untouched because the office got busy.

  4. Your team works one inbox

Four channel tabs per lead, the whole history, and a Take over button whenever the AI is mid conversation.

Worth knowing

The follow up really does happen on its own

The engine looks at every lead every 60 seconds, works out what is due, and does it: the next email, the next WhatsApp message, the next AI call, at the delays you set. Every run writes a step by step history, so you can open any lead and read exactly what went out and when.

It also knows when to stay quiet. The moment a person replies to a lead, the AI pauses itself, and the inbox shows a Take over button so a human is always one click from the conversation.

Before you ask

Questions

Does this replace our CRM?

No. It sits alongside whatever you run, collecting enquiries and following them up. Nothing has to move anywhere.

What happens to leads already in our system before we start?

Import them from a spreadsheet. Every row is checked first, and any row it cannot take comes back with its row number and exactly what to fix.

Does it work for lettings as well as sales?

Yes. Sales and lettings are separate lead categories, and each office can route them to different phone numbers and different follow ups.

Can the AI message people without us knowing?

Everything it sends is logged on the lead, the inbox shows a badge whenever the AI is replying, and one click takes the conversation over.
